Work System Design & Implementation

We design how you work first, then build the system on top

Growth starts with a better operating system, not more tools. We design people, work, information, decisions, AI and systems into one operating system — and then actually build it.

Work system design and implementation are delivered by WOR-PRO Lab Studio.

Why design the work system first?

When something breaks, most companies buy another program. But most problems start in the operating system, not in the software.

If the work itself is unclear, AI adds nothing, automation stalls halfway, and even a great tool ends up unused.

A tool will not decide how you work for you.

So we design before we build. First we make explicit how the company actually works — then we put the system on top of it.

What we design

An operating system has six layers. We design all six together.

Business Structure

We start with how the company makes money. We lay out the core work and value chain to find where value is created and where it leaks.

Core work · Value chain · Bottlenecks · Roles

Workflow

We design so work does not stall when it crosses people. The path from request to completion, approval points, waiting states and handovers become one flow.

Workflow · Approvals · Task links · Collaboration

Information

We remove the time spent looking for things. Documents, customer data and know-how get a structure: where they accumulate, who takes them out and when.

Documents · Customer data · Knowledge · Data flow

Decision

Not every decision should land on the founder. We set who decides what and how far, so the system judges instead of a person.

Authority · Accountability · Approvals · Criteria

Automation

We automate only work that is already clear. Repetitive tasks and data movement go to AI, APIs and workflows, so people are left with judgment.

AI · Workflow · API · Integrations

Platform

A design is finished only when it runs. We build the designed operating system on groupware, web, app and POS.

PlanQ groupware · WordPress · Web · App · POS

Services

It starts with an audit and continues through design, build and improvement. You can start at whichever stage you need.

Work System Audit

Operating System Audit

First we see exactly how the company runs today.

We observe the actual work and turn time, information, roles and flow into data that shows where things are blocked.

Audit report · Bottleneck analysis · Time analysis · Automation opportunities · Quick wins

Work System Design

We make the new operating system executable, not just a document.

Workflows, roles, information structure and where AI belongs are rebuilt to fit the company.

Workflow · SOP · Operating system · Role definitions · Information architecture · AI strategy

Workflow Automation

We take the designed work off people's hands.

Repetitive processing, notifications, data movement and document generation are automated with AI and integrations.

AI · API · Workflow · Integrations · PlanQ

Platform Development

We turn the designed operating system into a system people actually use.

From groupware rollout to web, app and POS development, ERP integration and operations dashboards.

Web · App · POS · ERP integration · Dashboards

Continuous Improvement

An operating system is never finished in one pass.

We watch real operating data, find the next bottleneck, and keep refining flow and automation.

Monthly operations support · Regular reviews · Improvement backlog

Deliverables

How we work

Five stages. It starts with observation and ends in improvement.

Discover

We observe the company.

We look at the work that actually happens, not the work written in documents. Interviews and work records capture how you work today, as it is.

Diagnose

We analyse bottlenecks.

We diagnose along four axes — time, information, roles and workflow — to pinpoint where work stops and where time disappears.

Design

We design the new operating system.

Workflows and SOPs, roles and permissions, information structure and the points where AI applies are designed to fit the company.

Build

We build the real system.

We implement the design with PlanQ groupware, web, app and AI automation — and stay until the team actually starts using it.

Improve

We keep improving with operating data.

After rollout we watch the metrics, find the next bottleneck and improve. The operating system grows with the company.

What you get

It does not end in talk. It is delivered as assets that stay with the company.

Frequently asked questions

Nothing is organised here at all. Can we still start?

That state is normal. We do not assume an organised company. Observing the unorganised state is exactly where the audit starts. Begin with the work system audit.

Can we take only the design and build it ourselves?

Yes. The design deliverables are your asset and are not locked to a specific tool. We hand them over in a form your own team or another partner can implement directly.

Do we have to throw away the systems we use now?

No. We first look at connecting the ERP, groupware and accounting systems you already use. We propose replacement only when replacing is clearly better.

What about cost and timeline?

We start with the work system audit. The design and build quote comes after the audit fixes the scope, so you never have to commit to a large amount up front. Work proceeds under a contract that states scope, schedule and deliverables.

Why WOR-PRO

We are not simply a development company. We design how a company works.

Development is the result, not the goal.

Good systems are built on a good operating system, and companies grow on good systems.

We do not design and leave.

We build what we designed ourselves, and after it goes live we keep refining it with you, using the data.

Does your company have an operating system that can carry growth?

Start with the work system audit. We organise how your company runs today, as data.
